Case Study - SEGRO

Background to Segro

SEGRO plc (formerly Slough Estates Group) is a property investment and development company focused on the provision of Flexible Business Space in Europe and one of the largest REITs in the world. The Company serves a diversified customer base of around 1,700 customers, operating across a wide range of sectors and representing both small and large businesses, from start ups to global corporations. Segro have invested in SAP BPC primarily to meet their financial reporting requirements including statutory reporting, budget and forecasting.

CopperMan's Role

CopperMan were introduced to Segro through "word of mouth" late on in the project. Segro were an existing SAP BPC client with an already existing application set to service the financial consolidation and reporting needs of the group. With a low level of internal product knowledge, coupled with a less robust system design and a lack of support from their incumbent consultants, CopperMan were quick to introduce a number of very strong consultants into the team. The consultants were qualified accountants with excellent product knowledge who were able to understand the business requirements and work on fixing the many issues Segro had identfied through their last reporting cycle. CopperMan subsequently supported Segro through the whole year end reportng process.

Working on the data flows

With many non-integrated and diverse ledger systems throughout the Group, the ability for the European and UK business teams to quickly and accurately enter the quarterly reporting data needs of the Group into the system was very poor. CopperMan was able to build a standardised set of Excel based upload templates which were designed to import data files from the diverse ledger systems, transform and load these into BPC. This enabled the divisions to accurately submit the year end data sets in the fastest cycle ever completed. The feedback from the year end process was unanimously positive for the CopperMan team.

Automated interface

CopperMan was tasked with automating the GL extract and upload process into SAP BPC. The interface was a natural extension of the current general ledger replacement project which would see a common system and chart of accounts built for all of the European businesss units. The interface was developed in native Microsoft Integration Services and included full data flow mapping and validation with a simple user front end user screen to control the process initiation.

Next Steps

CopperMan was able to demonstrate how a redesign of the system applications and dimensions would lead to increased stability, flexibility and performance. The redevelopment of the application would further enhance Segro's reporting process as well as improve their ability to maintain and develop the application in house.

Why CopperMan

As one of the market leading SAP BPC consultancies, with a proven track record in designing and building successful applications, CopperMan was chosen to support Segro with its goal of developing a self sustainable improved, efficient and robust reporting process.

What is SAP BPC

SAP BusinessObjects Planning and Consolidation (formerly OutlookSoft) is a corporate performance management tool that can cater for all types of planning and forecasting, from simple small processes to complex multi layer processes, while also providing consolidation and easy to use reporting.

SAP BPC offers a robust, multiuser platform, which is fully integrated with Microsoft Excel.  Initially leveraging off the power of Microsoft SQL Server and Analysis Services there is now another version that uses SAP Netweaver as its back-end database. Although similar, especially to the end user, these two versions of the product do offer different functionalities (see whitepaper)

The main features of SAP BPC are:

Multi-Dimensional

The multi-dimensional nature allows users to “slice and dice” the data according their needs.

Dynamic

As SAP BPC utilises OLAP technology, this means that data is available as soon as it has been entered – no need to aggregate data!

Workflow Management

Enables an organisation to keep track of its progress through a budget/forecasting process

Unified

Whilst other software requires different modules to do consolidation or forecasting, SAP BPC handles these within a single software product.

Integrated with Microsoft Office

Embedded in Microsoft Excel, with the ability to report directly in to corporate Microsoft Word and PowerPoint documents.

Zero footprint Option

Using the Web portal, data can be accessed and reports shared without the need to install the client add-ins (or even have Microsoft office installed!)

Store Comments

SAP BPC allows the user to store commentary against any data point in the application

Enterprise Performance Management

Enterprise Performance Management (EPM) or (Corporate Performance Management (CPM) or Business Performance Management (BPM) or Performance Management (PM) consists of a set of processes that help organisations optimise their enterprise performance.

It provides a framework for organising, automating and analysing business methodologies, metrics, processes and systems that drive business performance.  EPM helps businesses make efficient use of their financial, human, material and other resources.  In the past, as management have sought to drive strategy down and across their organisations, they have struggled to transform strategies into actionable metrics and they have grappled with meaningful analysis to expose the cause-and-effect relationships that, if understood, could give profitable insight to their operational decision-makers.  Enterprise Performance Management software and methods allow a systematic, integrated approach that links enterprise strategy to core processes and activities. "Running by the numbers" now means something: planning, budgeting, analysis, consolidation and reporting can give the measurements that empower management decisions.

Effective EPM delivers information quickly to support business goals; provide visibility into the business; and ensure agility and the ability of the business to respond to change

CopperMan Consulting has tried and tested methodologies that help our clients successfully implement EPM. Our team comprises consultants with the right skills to help deliver these projects – business, accounting, technical and project management.

Fast delivery of information

No matter how good the software, if business and IT are not aligned, information will not be available to the right people at the right time and in the right format.

We'll ensure you have the right team from the outset and that your people are trained to deal with the information and that it is delivered in time cycles that are relevant to your business to the right people in timeframes that are useful to them and relevant to the business as a whole.

Our consultants have technical and financial skills and have done these projects many times over and are well placed to help you successfully deliver your project and avoid common pitfalls.

Visibility

EPM offers opportunity to slice and dice information according to your business needs and make it immediately available to the organisation
We'll help you define your requirements and processes so you optimise your strategic and operational performance goals.

Agility and responsiveness

Successful businesses are able to respond to changes in the economic and financial environment in which they operate.

We will not only set you up for better performance management but also train your team so they have the skills necessary to extend and enhance the software in response to changes in the operating environment and business goals in the future.

Why CopperMan

Our management team has over 14 years' experience of implementing SAP BPC dating back to its days as EAP/Everest/Outlooksoft and we are recognised as subject experts and thought leaders in the area of SAP BPC. They have presented at the global Outlooksoft conferences on topics such as ‘Performance and Stability of Large Complex Global Applications’, ‘Automating Cash Flow’ and ‘Self-Service Intercompany Reporting and Matching’.

That means we have a lot of experience in implementing EPM projects and know what works.

Achieve vision

We balance the requirements for your short term implementation goals against your strategic EPM roadmap to achieve the optimum application set and application design

Reduce risk of failure

Often the biggest threat to a project is the failure to get the right people on board and ensure they fully understand the objectives and desired outcomes of the project from the start.  We have developed processes that bring IT and business together to speed up implementation and reduce costs.

Focus on quality

We place great store in making sure our clients are happy and are committed to offering a quality service. This is why so many of our clients are more than happy to recommend us to others

Deliver results

The acid test of success is the acceptance of users and steering groups that the objectives have been achieved. We combine business-process focussed design, deep expertise in script logic, data migration and report writing, and process based end user training to ensure that success is delivered.

Support the whole lifecycle of your application

We actively share knowledge during the implementation phase so that your team can maintain and develop your system after the initial implementation but also provide access to a dedicated support service and/or further consulting support for when you need it.
